The job of Receptionist involves managing a busy front desk working with clients, visitors, telephone messages and responding to calls in a professional and efficient manner. In addition to this, the Receptionist has to perform various clerical duties, which support in the presentation and operation of our professional company. The Receptionist is responsible to assist customers in a smooth and efficient manner, to adhere to all protocols in line with our organization’s goals, strategies, and values. The Receptionist is fundamental in presenting the first and foremost impression of our organization to our customers and clients.
•Answering the telephone, directing calls, taking and relaying messages
•Greeting customers and clients gathering information and directing individuals to correct destination
•Ensuring knowledge of personnel whereabouts and maintaining exact and complete sign-out/sign-in procedures for on-site staff
•Dealing with queries or requests from customers and employees
•Providing general clerical and administrative support to all departments
•Preparing documents for proper mailing [postage machine functions and FedEx processing]
•Receiving and sorting deliveries for proper distribution
•Ensuring that common areas in office are equipped with required office supplies
•Monitoring and tracking other supplies for office areas
•Coordinating the maintenance and repair of office equipment.
•Knowledge of clerical and administrative procedures
•Strong keyboard skills
•Good communication skills and professional personal presentation
•Ability to manage employee information
•Organizing, planning, and customer service orientation
•Great attention to detail
